How to Set Up an iPad as a Visitor Management Kiosk

1

2
Configure

Log in, set your visitor types, custom fields, and branding. Takes about 15 minutes. No technical knowledge needed.

3

Place the iPad on a desk stand or floor-standing mount at your reception. Any standard iPad stand works.

4
Go Live

Your digital visitor check-in kiosk is ready. Connect a badge printer for automatic badge printing at every arrival.

WHY BUSINESSES SWITCH TO IPAD KIOSKS

Three problems that an iPad visitor kiosk solves immediately

Every office that still relies on paper logbooks or expensive proprietary hardware is losing money, professionalism, and real visitor identification at every check-in.

Paper Logbooks Look Terrible on a Modern Reception Desk

A first impression that contradicts your brand

Visitors arriving at a professional office see a spiral notebook, a pen on a string, and hand-scratched signatures. It contradicts every brand message about being a modern company and leaves the wrong impression before a single meeting has started.

Dedicated Kiosk Hardware Costs Thousands

Proprietary hardware with a five-figure price tag

Proprietary visitor management kiosk hardware costs $2,000 to $8,000 per unit. An iPad you already own runs Vizitor for free, or a new iPad Air costs under $600. The economics are not close, and the iPad does more.

No Photo Capture Means No Real Visitor Identification

Names without faces are not real security

Clipboards and email check-in have no photo verification. The iPad camera in Vizitor captures a visitor photo at every check-in and prints it on the badge, so your team can match every face to every record instantly.

HOW IT WORKS ON IPAD

From walk-in to badged visitor in under 30 seconds

Four steps. Self-service. No receptionist required at the kiosk. Every arrival logged, badged, and host-notified automatically.

WHY IPAD SPECIFICALLY

iPad advantages, plus everything Vizitor adds on top

The combination of Apple hardware quality and Vizitor's visitor management platform creates a kiosk that is better than any proprietary alternative.

iPad Advantages for Visitor Check-In

  • Familiar iOS interface: visitors know how to use it instantly, zero learning curve at reception.
  • Front-facing camera: high-quality photo capture at every check-in, included in every model.
  • Retina display: professional and legible from a distance, even in bright lobby lighting.
  • Kiosk mode: lock the device to Vizitor using Apple's built-in Guided Access feature.
  • Apple Business Manager: manage entire iPad fleets centrally across all office locations.

What Vizitor Adds on Top

  • Complete visitor management platform, not just a sign-in form, with full audit logs and reporting.
  • Automatic badge printing to compatible label printers over Wi-Fi, no manual action needed.
  • Offline mode for reliable check-in during internet outages, data syncs when connection returns.
  • Pre-registration with QR codes for instant check-in: expected visitors scan and they are done.
  • Web-based VMS admin dashboard from any browser: no iPad needed for day-to-day management.
KIOSK LOCKDOWN

Kiosk Mode: Lock Your iPad to Vizitor

Use Apple's built-in Guided Access mode to lock the iPad to the Vizitor check-in app. Visitors cannot exit to the home screen, access your other apps, or change settings. Your reception kiosk stays a kiosk.

Guided Access is configured in Settings and requires a passcode to exit. Combined with Vizitor's visitor security features and touchless check-in options, your iPad kiosk is a secure, single-purpose device from the moment you activate it.

  • Visitors cannot access the home screen or other apps
  • Device settings are locked during kiosk operation
  • Passcode protected exit for authorized staff only

  • Prints automatically at check-in completion, no button press needed
