A professional visitor badge has six elements. Each one serves a specific purpose.
Visitor name
The most important element. Anyone in the building who sees the badge should be able to confirm who this person is without asking.
Company or organisation
Identifies where the visitor is from. Useful for front desk staff, security, and any colleague who needs to know whether the person is a client, vendor, or contractor.
Host name
Shows who invited the visitor and who is responsible for them while on site. Speeds up the process of finding and contacting the right person if the visitor gets lost.
Date and time
A visitor badge without a date is a security gap. Anyone holding an undated badge could have printed it weeks ago. The date makes every badge single-use.
Badge type
Visitor, Contractor, VIP, or Temporary Staff. Colour-coding by type lets any member of staff identify at a glance who this person is and what access level they have.
Photo (optional for manual badges)

The badge looks the same. The process is completely different.
What paper to use
Standard A4 or US Letter paper works for most offices. For a more professional result, print on 300gsm card stock and laminate. Self-adhesive badge paper (available from any office supply store) lets visitors peel and stick directly without a badge holder.
What size to print
The standard office visitor badge is 85mm × 54mm, credit card size. This fits most lanyard badge holders and clip-on badge holders. The PDF download from this tool is formatted to print at this size on a standard A4 sheet with crop marks.
Badge holders and lanyards
Rigid badge holders with clips work for short visits where the visitor stays in one area. Lanyards are better for longer visits or events where the visitor moves around the building. Both are available from any office supplies retailer.
For multiple visitors at once
Print multiple badges on a single sheet by repeating the download process for each visitor. Standard A4 paper fits four credit-card-sized badges per sheet with crop marks. For events with high visitor volumes, a visitor management system with a dedicated badge printer is more practical.
