Why This Matters
A better first impression than a sticky note on the router
1

Guests join without typing

This QR encodes your real network name and password, so a phone camera connects to your guest WiFi directly. No spelling out passwords at the front desk.

2

One sign, two jobs

Pair the WiFi QR with a visitor check-in QR on the same branded sign, so the moment a guest connects, they can also register their visit.

3

Make the check-in QR a live flow

Point the check-in QR at a Vizitor digital check-in link and every guest who scans it gets logged, badged, and their host notified automatically.

Sign Essentials
What makes a guest WiFi sign actually work
📶

Real, scannable QR

This generates an actual WIFI: QR code your phone's camera reads natively. It's not a link to a page, it connects the device to the network directly.

🔒

Match the security type

Select WPA/WPA2 for most modern routers, WEP only for older hardware, or Open for a network with no password. A mismatched type means the QR won't connect anyone.

🔁

Pair it with check-in

Add a check-in QR next to the WiFi QR so the same scan-friendly moment also captures who's visiting, who they're here to see, and when they arrived.

📍

Put it where guests look

Reception desk, meeting room table, or the glass door at eye level. A sign that isn't seen doesn't get scanned.

Printed WiFi sign vs. an automated visitor check-in
Guest WiFi sign (this tool)
  1. Guest asks for the WiFi
  2. Receptionist points at the sign
  3. Guest scans and connects
  4. Host contacted manually
  5. No record of the visit
Total time: 1-2 minutes, no visit record
Vizitor visitor check-in
  1. Guest scans the check-in QR on the same sign
  2. Guest registers on their own phone
  3. Host notified instantly
  4. Photo and badge captured, if enabled
  5. Visit logged automatically with a timestamp
Total time: under 30 seconds, fully logged

The WiFi QR works the same either way. The check-in QR is what turns the scan into a visit record.

Printing Tips
Tips for printing and placing your WiFi sign

What paper to use

Standard A4 or US Letter is fine for a taped-up sign. For a permanent reception fixture, print on 250-300gsm card stock or laminate it, guest WiFi signs get touched, wiped, and re-printed less often that way.

What size to print

The 800 x 1150px canvas exports at a portrait ratio that scales cleanly to A4, US Letter, or a 5x7 tabletop frame. Test-scan the printed QR before mounting it, ink saturation on some printers can blur small modules.

Where to place it

Eye level at the reception desk, on a tabletop stand for the meeting room, or taped to the inside of the front door. Anywhere a guest naturally pauses is better than posting it high on a wall.

Keep the password current

If your guest network password rotates, regenerate and reprint the sign each time. An old QR that fails to connect is worse than no sign at all.

FAQS

Frequently Asked Questions

Is the Guest WiFi QR Code Generator free to use?

Yes, it is completely free. Enter your network name and password, generate the QR code, and download a print-ready sign for your reception area.

Do I need an app for visitors to scan the code?

No. Most modern smartphone cameras can scan the QR code directly and connect to WiFi without installing any app.

Is my WiFi password stored anywhere?

No. The QR code is generated in your browser and encodes your network credentials directly into the image, nothing is saved on our servers.

Can I combine this with visitor check-in?

Yes. Many offices display the guest WiFi QR code alongside a visitor sign-in QR code at reception. If you use Vizitor for visitor management, you can pair both on the same welcome screen.
