This includes the standard iPad (6th generation and later), iPad Pro (all sizes), iPad Air (3rd generation and later), and iPad Mini (5th generation and later). For the best visitor experience, a 10-inch or larger screen is recommended, but the app runs on all supported iPad models. You do not need to purchase a new iPad: any compatible iPad you already own is suitable.

No specialized hardware is required. Any iPad with an iOS 14 or above operating system and the Vizitor app installed can function as a full reception kiosk. A desk or table stand to hold the iPad upright at visitor eye level is the only accessory typically needed, and these are widely available from electronics retailers for under INR 1,500. If you want to print visitor badges, any AirPrint or Bluetooth-compatible badge printer connects directly to the iPad without additional software.

Apple's built-in Guided Access feature, available on all iPads running iOS 14 or above, locks the device to a single app. Once enabled, visitors can only interact with the Vizitor check-in interface and cannot navigate to the home screen, open other apps, or access device settings. To enable Guided Access, go to Settings, then Accessibility, then Guided Access, turn it on, and set a passcode. Open the Vizitor app and triple-click the side or home button to activate. You can upload any PDF document including NDAs, confidentiality agreements, safety induction forms, health declarations, or any other required document. Visitors review the document on the iPad screen and sign with their finger or a stylus. The signed copy is automatically stored in their visitor record in Vizitor's cloud dashboard, accessible and searchable at any time. Multiple documents can be configured to appear in sequence for different visitor types.

The moment a visitor completes check-in on the iPad kiosk, Vizitor automatically sends a notification to the selected host via their preferred channel: SMS, email, Slack, Microsoft Teams, or the Vizitor mobile app. The notification includes the visitor's name, company, check-in time, and the photo taken during check-in. Hosts can acknowledge the visit, mark themselves as on their way, or redirect the visitor to a colleague, all from their phone. No receptionist needs to make a phone call.

Yes. When a visitor checks in for the first time, they can opt to receive a personal QR code by email. On subsequent visits, they scan this QR code at the iPad kiosk and check in in under 5 seconds without re-entering their details. Their information is retrieved automatically from their previous visit record. For pre-registered visitors, the host can send a QR invitation in advance, allowing the visitor to scan it and bypass the standard check-in flow entirely, which is ideal for high-volume visitor days or VIP guests.

Vizitor's offline mode ensures check-ins continue uninterrupted even when the internet connection is unavailable. All visitor data entered during the offline period is stored securely on the iPad and automatically synchronized to the cloud when connectivity is restored. Yes. Vizitor is designed for full GDPR compliance. All visitor data collected through the iPad app is encrypted using AES-256 encryption in transit and at rest. The kiosk screen displays a privacy notice before data collection begins. Data retention policies can be configured in the admin dashboard to automatically delete visitor records after a specified period, such as 30 or 90 days. Visitors can request data deletion via the contact form, and Vizitor supports the right to erasure under GDPR requirements. No visitor data from previous check-ins is visible on the kiosk screen.

Administrators can maintain a watchlist of individuals who should not be permitted entry, including dismissed employees, banned contractors, or any other flagged persons. When a visitor enters their name during check-in, Vizitor cross-references it against the watchlist automatically. If a match is found, the check-in is blocked and an immediate alert is sent to the designated security contact. The visitor is not informed of the watchlist check, only that their check-in could not be completed.
